Job Description

DEFINITION:

Under supervision, performs a variety of routine to complex administrative duties. Takes notes and writes up minutes for the Board of Trustee’s board meetings, takes care of minutes and agendas. Helps families with purchasing plots for their loved one as well as setting up contracts for future pre-needs and taking payments. Processes all invoices/claims/vouchers/checks for payment in QuickBooks and Finance Enterprise. Filing and organizing. Prepare deposits, answers incoming calls, takes and picks up items at the County of Kings.

CHARACTERISTICS:

Secretary/Accounts Payable has cash handling and balancing and clerical experience. Computer experience, have experience with QuickBooks online. Has good writing skills. Must have professional and sympathetic demeanor to assist members of the public who may be dealing with grief and loss of a love one.

EXAMPLE OF DUTIES

Receives, reviews, and verifies invoices for accuracy and completeness for process for payment in QuickBooks Online and Finance Enterprise. Obtain warrants for the County of Kings, Auditor for approved invoices and process payments. Prepare and mail checks for approved payments to vendors and suppliers. Assist families by processing plot sales through CemSites and Boelter Cemetery Software, collecting payments, and recording sales information in the grave book. Process credit card deposits into Finance Enterprise. Takes notes at the Board of Trustees monthly meeting and documents minutes for posting to the cemetery’s webpage and send to the Board of Trustees.

MINIMUM QUALIFICATIONS:

Any combination of education and experience that would likely provide the required knowledge, skills and abilities may be qualifying. A typical way to obtain the required knowledge, skills and ability would be:

Education:

High school graduation or equivalent.

Experience and Training:

Two (2) years’ experience handling money.

WORKING CONDITIONS:

Working indoors in an office environment, operating computer, telephones and other office equipment. Requires the ability to sit, stand, read, write, and communicate clearly in spoken and written form.

Working hours: 7:15 a.m. to 4:15 p.m., Monday through Friday. Occasional work outside of normal hours may be required.
